To add an invoice to the application:
1. Click the Add an Invoice icon in the left navigation pane.
The Invoice screen is displayed.
2. Select the vendor from the Vendor list.
TIP: If the vendor you select has a remittance address in the application, the remittance address is automatically displayed in the Remittance Address field.
3. Enter the number assigned to the invoice in the Invoice # field.
4. Enter the amount of the invoice in the Total field.
5. Select the invoice’s currency type from the Currency Type list.
6. Select the invoice type from the Invoice Type list.
7. Select the discount terms from the Terms list.
8. Enter the date the invoice was created in the Invoice Date field.
Or
Click the calendar icon, and then select the date.
9. Enter the date the invoice payment is due in the Due Date field.
Or
Click the calendar icon, and then select the date.
10. Enter any special instructions pertaining to the invoice in the Special Handling field.
11. Enter the date the service started in the Service From field.
Or
Click the calendar icon, and then select the date.
12. Enter the remittance address in the Remittance Address field, if it is not already displayed or the displayed address is incorrect.
13. Enter the date the service ended in the Service To field.
Or
Click the calendar icon, and then select the date.
14. Enter the name of the approver in the Approving Manager field.
15. Enter the purchase order number in the PO Number field.
16. Select the handling code from the Handling Code list. The default is standard processing.
Note: The application assigns the Invoice Status. The status of the invoice changes as it follows your company’s defined workflow.
17. Complete any or all of the optional tasks, if needed:
- Import a Line Item Distribution
- Notify a User that an Invoice Has Been Processed
18. When complete, click one of the following buttons:
- Save Invoice to save the invoice.
- Save and Add New to save the invoice and start a new one.
- Reset Invoice to clear the fields in the Invoice Header Details pane.
- Close Invoice to close the invoice.
